No. The form sends your preferences to the scheduling team, who will offer an available time for you to confirm. If you need care today, calling is the fastest way to discuss a same-day emergency slot.

Can you check my insurance before I come in?

Yes, in many cases. Have your member ID, group number and subscriber details ready; benefit information from an insurer is an estimate and does not guarantee payment.

Choose the most convenient address or select “earliest available” on the form. Our scheduling team can compare current openings and confirm the office when they contact you.

Call for pain, swelling, a broken or knocked-out tooth, a lost filling or crown, or an injury to the mouth. Both offices reserve same-day emergency slots, subject to availability. A conversation lets the team ask what happened, how long it has been happening and which office can see you first.

Call 911

Use emergency medical services for uncontrolled bleeding, serious facial trauma, trouble breathing or swallowing, or swelling that may affect the airway. The appointment inbox is not continuously monitored and a dental office is not a substitute for hospital emergency care.

How to request an appointment

You do not need to know the name of a procedure before you contact us. Describe what you want help with, and the scheduling team will match the request to the right visit type.

1. Tell us why you are getting in touch

Choose a free consultation, new-patient exam, preventive visit, dental concern or same-day emergency request. If you are uncertain, describe the symptom or goal in plain language. Do not include a full medical history, Social Security number, payment-card information or detailed clinical records in the open message field.

2. Give a useful scheduling window

Select Central Austin, South Austin or earliest available. Add a preferred day and morning, afternoon or after 4:00pm. A wider window gives the team more options, but it is also fine to state a firm limit such as school pickup, a work shift or a ride that is available only at one time.

3. Watch for a confirmation

A coordinator will call or email during office hours. The reply will name the office, date, time and visit type. Your appointment is confirmed only after you accept that offer. If the proposed time does not work, reply with another window rather than submitting the same form again.

4. Prepare for the visit

New patients receive arrival instructions. Have photo identification, an insurance card if you plan to use insurance, a medication and allergy list, and recent dental records or X-rays if they are available. Tell the team in advance about mobility needs, dental anxiety or difficulty lying back so the right room and time can be reserved.

For a routine or first visit

  • Your full name, date of birth and the best number for a return call.
  • Central Austin, South Austin or the earliest suitable opening.
  • The main reason for the visit and whether anything currently hurts.
  • Days or times that are possible, plus any hard scheduling limits.
  • Whether records or recent X-rays are held by another dental office.

For an insurance question

  • The insurer name and the member ID shown on the card.
  • The group number and the subscriber’s name and date of birth.
  • Whether the patient is the subscriber or covered as a dependent.
  • Any written benefit information you want the team to review.
  • A reminder that verification is an estimate, not a promise of payment.

For urgent dental symptoms

  • Where the problem is and when it started.
  • Whether pain is constant, worsening or triggered by biting or temperature.
  • Whether there is swelling, bleeding, fever, injury or a missing tooth fragment.
  • What medication you have already taken and any relevant allergies.
  • Any breathing, swallowing or major-trauma symptom that requires 911 instead.

3101 North Lamar Boulevard, Suite 120, Austin, TX 78705. Open Monday–Thursday from 8:00am to 5:00pm and Friday from 8:00am to 2:00pm; closed Saturday and Sunday. Free surface parking is behind the building, with marked accessible spaces nearest the entrance. The suite is on the ground floor with level entry.

South Austin

8601 South Congress Avenue, Suite 210, Austin, TX 78745. Open Monday–Thursday from 9:00am to 6:00pm and Friday from 8:00am to 2:00pm; closed Saturday and Sunday. The complex has a large open parking lot. The suite is on the second floor, and the elevator is inside the main lobby doors.

Check before traveling in unusual conditions

Holiday and severe-weather hours may differ from the regular schedule. If local conditions could affect opening, call before you leave. If you are running late, call rather than rushing; the team can tell you whether the visit can still go ahead or should move to another time.

Insurance, estimates and previous X-rays

Benefit checks

BrightSmile accepts many dental insurance plans and can ask a carrier about eligibility, deductibles and available benefits before care. The answer is based on information supplied by the insurer and is not a guarantee that a claim will be paid. For planned treatment, ask for a written estimate showing the expected insurer contribution and patient portion.

No insurance

You can still request an appointment. Ask the coordinator to confirm the current fee for the visit and the payment methods available. If a larger treatment plan is recommended, the clinical team can explain which needs are urgent, which can be monitored and whether care can be sequenced over more than one visit.

Records from another dentist

Tell the scheduling team which office holds your recent records or X-rays. They can explain the secure transfer process and whether the material is recent enough to be clinically useful. Do not attach detailed health records to the ordinary appointment form unless the practice gives you a secure method and asks you to use it.

Practical contact questions

Changes, family bookings and private information

I need to change or cancel a visit

Use the same phone number or reply to the confirmation message as soon as you know. Include the patient name, the existing appointment time and a new window that works. Early notice gives the team the best chance to move the visit without delaying care and makes the released time available to another patient.

I am booking for more than one person

Send a separate request for each patient and note that the visits should be coordinated. Different visit types need different amounts of clinical time, so back-to-back appointments are not confirmed until the scheduling team checks the diary. A parent or legal guardian must attend for a patient under 18.

I have a private clinical question

Keep the open form to scheduling details. State that you need a private call and give a safe number and time to reach you. The coordinator can route the question to the appropriate licensed team member and explain the secure way to share records. Email and ordinary web forms should not be treated as emergency or diagnostic services.

What a scheduling reply can and cannot do

The team can confirm an appointment, explain what to bring and help with benefit information. A diagnosis, treatment recommendation or promise about insurance requires the appropriate clinical or insurer review. If a symptom changes while you are waiting for a reply, call the office; if it becomes life-threatening, call 911.
